1 Introduction & Overview
Welcome to iLivinn AI - Quản Lý & Đặt Phòng ("the Application", "our App"), owned and operated by Ilivinn company limited ("we", "us", or "our"). We provide property management and rental accommodation services empowered by an AI Copilot.
We respect your privacy and are committed to protecting your personal data in strict compliance with the Google Play Developer Program Policies (specifically the User Data Policy) as well as applicable privacy laws.
This Privacy Policy describes what information we collect, why we collect it, how it is used, how device permissions are handled, and how you can exercise your rights, including data retention and account deletion.
2 Android Sensitive Device Permissions & Usage
Our Application requests only permissions that are strictly necessary to deliver accommodation management and AI assistant capabilities. We do not access sensitive permissions in the background without explicit user action:
Purpose & Usage: Used solely when you take photos of room interiors, utility meters (electricity and water), property damages, or tenant identity documents required for rental contract preparation. The camera is never accessed in the background or without your explicit command.
Purpose & Usage: Enables the Speech-to-Text feature allowing you to interact with the AI Assistant using voice commands. Audio is processed only while you actively press the voice input button. We never record background audio, never retain continuous voice streams, and never sell or share voice data with advertisers.
Purpose & Usage: Allows you to pick and upload existing images of rooms, rental agreements, or payment receipts from your device gallery into the property management system.
Purpose & Usage: Delivers critical operational alerts including bill due reminders, contract expiry warnings, revenue reports, and smart device status updates. You can toggle notifications off at any time via Android System Settings.
3 Information We Collect
- Account Information: Full name, email address, phone number, and organization identifier when registering an account.
- Property & Operational Data: Building names, room numbers, rental pricing, utility metrics, contracts, and payment transactions.
- Identity Verification Data: National ID numbers and identity card photos (provided voluntarily and solely for legally mandated lease contracts).
- Diagnostic & Device Information: Operating system version, anonymous device identifiers, network connection type, and crash diagnostics to maintain app stability and security.
4 How We Use Information
Your information is used strictly for legitimate operational purposes:
- Operating and maintaining room management, tenant listings, invoicing, and contract tracking.
- Powering the AI Copilot to answer management questions and assist in drafting operational documents.
- Delivering billing receipts, customer support, and essential service notices.
- Preventing fraudulent activities, unauthorized system access, and ensuring data security.
5 Third-Party Disclosure & Data Protection
No Data Selling: We never sell, trade, or monetize your personal data or user data to third-party advertisers or data brokers.
Data is shared only with trusted infrastructure providers under strict confidentiality agreements:
- Google Firebase: For reliable push notifications (FCM) and crash analytics.
- Licensed Payment Gateways & Banking Partners: For processing invoice transactions securely.
Security Standards: All data transmissions between the application and our servers are encrypted using modern TLS/HTTPS encryption. Data is stored in secure cloud facilities with firewall protection and regular security audits.
6 Data Retention & Account Deletion Policy
You have the full right to access, export, or permanently delete your account and all associated personal data at any time.
Option 1: In-App Account Deletion
Open the iLivinn AI app → Go to the Account (Profile) tab → Tap Settings & Privacy → Select "Delete Account" (Xóa tài khoản) and confirm. Your account will be immediately queued for deletion.
Option 2: Web Deletion Request Page
You can visit our public account deletion request page at https://ilivinn.com/delete-account to request account termination online without requiring the mobile application.
Option 3: Email Support Request
Email us directly at support@ilivinn.com with the subject "Account & Data Deletion Request" from your registered email. Requests are verified and processed within 48 business hours.
What Data Is Deleted?
Your personal profile, email, phone number, uploaded identification photos, and AI conversation history are permanently erased from active production databases. Invoiced financial records are archived in anonymized form as required by Vietnamese tax and accounting regulations.
7 Children's Privacy
Our Application is designed for property managers, landlords, and adult tenants (aged 18 and older). We do not knowingly collect or solicit personal identifiable information from children under the age of 13. If we discover that a child under 13 has provided us with personal information, we will immediately delete such data from our servers.
